Mac & Fulton Talent Partners has a client in the horticulture supplies space that needs to hire a new Inside Sales/Office Manager.

The Inside Sales/Office Manager supports the company’s sales, administrative, and operational functions by overseeing staff, implementing procedures, and maintaining efficient systems. Our client is a Dutch company, and this role involves collaborating with internal teams and departments, including finance, HR, ICT, and external stakeholders, to align operations and drive organizational efficiency.

Key Responsibilities:

  • Assist sales representatives with preparing quotations, performing calculations, and processing transactions using custom software/ CRM.
  • Ensure timely and accurate processing of visiting reports in the CRM system.
  • Coordinate and implement process improvements for sales and support workflows.
  • Provide marketing support, including organizing trade shows in North America, managing advertisements, and conducting market research.
  • Collaborate with the Managing Director to manage and maintain the sales funnel effectively.
  • Monitor and achieve key performance indicators (KPIs) for sales support, operational efficiency, and administrative accuracy.
  • Assist in resolving customer inquiries related to quotations, transactions, or order processing.
  • Coordinate the import and export of automated machinery and systems in collaboration with Project Leads and customers, where applicable.
  • Support the procurement processes in agreement with the Managing Director.
  • Ensure compliance with legal and regulatory requirements for import/export processes and financial reporting.
  • Submit accurate and timely hourly reports to the external payroll department.
  • Maintain active communication with European HQ departments (Finance, HR, ICT) to ensure alignment, maintaining confidentiality as required.
  • Oversee and coordinate the insurance portfolio, including incident reporting.
  • Ensure timely and complete processing of financial transactions in coordination with Finance.
  • Develop and optimize administrative systems and workflows to support company operations effectively.
  • Regularly evaluate and improve workflows to enhance efficiency, accuracy, and team productivity.
  • Identify and implement process improvements using digital tools, ERP systems, or other automation technologies.

Qualifications:

  • Proven experience as a Sales Support Manager, Inside Sales Manager, or Office Manager in a role encompassing both sales and office administration.
  • Knowledge of office administration responsibilities, systems, and procedures.
  • Proficiency in MS Office, particularly MS Excel and MS Outlook.
  • Experience using an ERP system is preferred.
  • Excellent time management skills and ability to prioritize tasks in a fast-paced environment.
  • Strong attention to detail and problem-solving abilities.
  • Exceptional written and verbal communication skills in English and Spanish.
  • Creative mindset with the ability to propose and implement improvements.
  • The ultimate goal will be for the Inside Sales/Office Manager to move into an Outside Sales role.
